How much does AI automation cost for a small business in 2026?

Nobody publishes prices in this industry, which makes every buyer’s first question impossible to research. Here are real numbers.

The three price bands

Under £1,000 - off-the-shelf tools, DIY. Subscriptions like Zapier, Make, or an AI chatbot widget. Genuinely useful for simple, single-step automations (“when a form is submitted, add a row and send an email”). The catch: someone in your business has to design, build and babysit them, and they tend to quietly break.

£3,000–£12,000 - a built-for-you automation project. This is the band most small and mid-sized businesses actually need: a specialist maps a workflow, builds an automation tailored to your systems (CRM, inbox, accounting, order system), tests it against real edge cases, and hands it over monitored and documented. One to three solid automations typically land here.

£15,000+ - custom software. When the automation is the product, or when nothing off the shelf touches your workflow. Most businesses don’t need to start here, and a good consultant will tell you so.

What actually drives the price

  • Number of systems involved. Connecting two systems is cheap; reconciling five is not.
  • Edge cases. “Process the invoice” is easy until invoice #312 is a photo of a handwritten note. Handling the messy 10% is most of the engineering.
  • Consequences of error. Customer-facing and money-touching automations need more testing, monitoring and human checkpoints - and are worth it.

The only maths that matters

Take one task: hours per week spent on it × hourly cost of the people doing it × 50 weeks.

A bookkeeper spending 6 hours a week chasing and keying invoices at £25/hour is £7,500 a year - every year - on one task. A £5,000 automation that removes 80% of it pays back in about ten months, then keeps paying.

Run that calculation on your three most repetitive tasks before talking to anyone (including us). If nothing clears £5,000 a year, automation probably isn’t your priority yet - and you should be suspicious of anyone who says otherwise.
